To INCITS Officers –

 

With several new TCs and in response to a few inquiries regarding the INCITS ballot system, the Secretariat would like to provide the following overview of the INCITS Committee Management System (ICMS) balloting tool. We hope this information is helpful; if there are any questions, please contact the Secretariat at lbarra@xxxxxxxx. Please ensure your committee members are aware of this information.

 

  • The INCITS Secretariat issues all ballots.
  • All ballot notifications arrive to the member inbox from workgroup_mailer@standards.incits.org on behalf of admin@xxxxxxxxxxxxxxxxxxxx. Please make sure servers and spam filters are set to allow these emails.  This is a do-not-reply address.  If there are questions or problems, please contact the me.
  • Ballot Reminders: The ballot system sends reminders automatically only to organizations that have not cast a vote. There are three reminders.

 

  • It is the member’s responsibility to determine who will vote for their organization.  All voting members can vote on a ballot until it closes.   All alternates are able to vote on an open ballot and each new vote will override a previous one; however, once the Principal representative has cast a vote, it supersedes all others, locks the vote and can only be changed by the Principal.
  • All ballots open at 12:01 AM and close at 11:59 PM (eastern time). It is a rare exception that a ballot open/close time is different.
  • Ballots are 14 days unless otherwise directed by the INCITS Secretariat (i.e., to meet an international deadline).
  • Organizations have unlimited access to modify their vote only while a ballot is open.
  • When ballots close, a summary of the results is emailed to voting members, except for personnel and advisory ballots. 

 

  • The notifications/reminders for ballots include a link to access each ballot directly. Members will need to login to cast votes; emailed votes are not accepted.

 

  • Voting members are reminded to vote on all non-accelerated ballots to ensure the organization does not go into jeopardy or lose voting rights.*

 

 

Excerpt from the INCITS Organization, Policies and Procedures

 

  • Section 3.8.4.2 TCs, TGs and SGs*

“Voting Members of the TCs, TGs and SGs shall be warned in writing that their organizations’ voting status is in jeopardy upon failure of the organization to:

  1. attend two out of three successive meetings. If they are not represented at the next meeting, the organization is converted to Advisory status; or
  2. return two out of three successive non-accelerated LBs. If the next non-accelerated LB (identified by LB number) after the warning is not returned, the organization is converted to Advisory status…”
